As part of our digital transformation efforts aimed at conducting project activities at our university in a more effective, systematic and sustainable manner, another significant initiative has been launched. The ‘Project Application and Acceptance Registration Form’, developed in collaboration between the Project Development and Coordination Office and the Directorate of Information Technology, has been made available via the Electronic Document Management System (EDMS) workflows. Developed in line with our university’s objectives of digitalisation and strengthening institutional capacity, this application aims to enable university staff to record information relating to project applications—made to secure support from external sources—through a single system, and to effectively monitor project processes from the application stage through to completion. The new system will make a significant contribution to the more organised and data-driven monitoring of project processes, whilst also enabling the strengthening of institutional memory. The aim is to monitor project application details regularly via the system, update project outcomes, and establish an up-to-date, reliable and sustainable data infrastructure that can be utilised in institutional reporting processes. Under this system, for each project, it will be sufficient for any member of staff involved in the project to complete the ‘Project Application and Acceptance Record Form’ once. Following the announcement of the project outcome by the funding organisation, the previously created record will be accessed again via the EBYS, and information regarding the project’s acceptance or rejection status will be entered into the system, thereby completing the process. With this structure, project processes will not only be recorded at the application stage but will also be tracked using a holistic approach right through to the project’s completion. This will ensure that data relating to project activities is collected regularly and kept up to date, whilst the data obtained will make a significant contribution to our University’s institutional monitoring, evaluation, reporting and sustainability initiatives. This initiative, which strengthens collaboration between the various departments of our university, also serves as a significant example of efforts to effectively integrate technology into organisational processes. By managing project processes more effectively in a digital environment, the aim is to ensure that decision-making and reporting processes are supported by up-to-date and reliable data. Our Rector, Prof. Dr Zafer Asım KAPLANCIKLI, stated that the application, implemented in line with our university’s digital transformation objectives, will contribute to the more effective, transparent and systematic execution of project processes, adding: “We attach great importance to transforming our university’s project processes into a stronger, more traceable and data-driven structure using the opportunities offered by digital technologies. With the Project Application and Acceptance Registration Form now available online, it has become possible to track project applications and outcomes via an institutional system, generate up-to-date and reliable data, and utilise this data effectively in institutional decision-making and reporting processes. “We will continue to pursue our digital transformation initiatives with determination, in a way that supports our University’s institutional capacity and its ability to generate projects,” he stated.
