Duties, Authorities and Responsibilities of the School Secretary

To master all legislation (Laws, Decree Laws, Presidential Decrees, Statutes, Presidential Decrees, Regulations, Circulars, Directives) related to his/her duties and to carry out all administrative work.
To prepare a weekly report on the work done in the unit and submit it to the manager to whom he/she reports.
To ensure the division of labour among the administrative, technical and general service personnel assigned to the unit. To make the necessary supervision and supervision.
To submit a proposal to the Dean for administrative and general service personnel to be assigned to the unit.
To act as a rapporteur without the right to vote in the School Board and the School Board of Directors.
To prepare the agenda of the School Administrative Board and the School Disciplinary Board and ensure that it is distributed to the members.
To ensure that the decisions of the boards are sent to the relevant authorities and archived
To ensure that necessary security measures are taken in the building campus.
To organise the leaves of the administrative and general service personnel working in the unit in a way that will not disrupt the work flow processes.
To ensure that savings measures are followed.
To hold periodic meetings with administrative staff and general service personnel and to take necessary measures for their efficient work.
To ensure a fair division of labour among the staff, to supervise whether they fulfil their duties with their clothing, to arrange the duty areas and units of the administrative staff when necessary.
To ensure that the personal files of the academic and administrative staff in the unit are kept.
To ensure that student affairs in the unit are carried out in an organised manner.
To ensure that the warehouses belonging to the unit are kept in order.
To ensure that the documents received from EBYS are recorded by referral, directed within the unit and finalised.
To ensure that the transactions required for the purchase of all kinds of goods and materials required in the unit are carried out by the movable record control officer.
To ensure the preparation of the unit budget draft.
To ensure and supervise the regular execution of environmental cleaning, maintenance and repair services of the unit building and campus.
To examine and supervise the book exhibitions, stands, posters and similar requests to be hung in the unit.
To help provide the necessary social services to students.
To make the necessary warnings about the implementation of occupational health and safety issues in the working environment, to warn and control the doors and windows to be kept closed outside working hours.
To ensure that the documents related to the recruitment of academic and administrative staff to be recruited to the unit are prepared and the procedures for the extension of their term of office are carried out.
To ensure that all data belonging to the unit are kept up to date.
To ensure the preparation of reports such as Strategic Plan, Annual Reports, etc. of the unit.
To approve and certify the necessary documents (student documents, transcripts, diploma photocopy, etc.).
To ensure the cleaning, numbering and security of the classrooms for AÖF, ÖSYM, ATAÜNİ exams.
To ensure that classes are organised and announcements are made in Distance Education exams.
To make disciplinary correspondence regarding academic and administrative staff.
To check whether the health reports received by academic and administrative staff are appropriate.
To do the work of the staff who will be deputised according to the Duty Distribution Schedule Form.
