AUTHORITY, DUTIES AND RESPONSIBILITIES OF THE FACULTY SECRETARY


Authority, Duties and Responsibilities of the Faculty Secretary

1. To be familiar with all legislation (Laws, Decrees, Presidential Decrees, Statutes, Presidential Decisions, Regulations, Circulars, Directives) related to their duties and to carry out all administrative work.

2. To prepare a weekly report regarding the work done in their unit and submit it to their manager.

3. To ensure the division of labor among the administrative, technical and general service personnel assigned to their unit. To perform the necessary inspection and supervision.

4. To submit a proposal to the Dean for the administrative and general service personnel to be assigned to their unit.

5. To act as a rapporteur without the right to vote in the Faculty Board and Faculty Executive Board.

6. To prepare the agenda of the Faculty Board and Faculty Disciplinary Board and ensure that it is distributed to the members.

7. To ensure that the decisions made by the boards are sent to the relevant authorities and archived.

8. To ensure that the necessary security measures are taken in the building campus.

9. To arrange the leaves of administrative and general service personnel in the unit in a way that does not disrupt work flow processes.

10. To ensure that savings measures are followed.

11. To hold periodic meetings with administrative staff and general service personnel and take the necessary measures for their efficient work.

12. To ensure a fair division of labor among the staff, to check whether they fulfill their duties with their attire, to organize the areas of duty and units of administrative staff when necessary.

13. To ensure that the personal files of the academic and administrative staff in the unit are kept.

14. To ensure that the student affairs in the unit are carried out in an orderly manner.

15. To ensure that the warehouses belonging to the unit are kept in order.

16. To ensure that the documents received from EBYS are transferred, recorded, directed within the unit and finalized.

17. To ensure that the procedures required for all kinds of goods and materials required in the unit are carried out by the movable record control officer.

18. To ensure that the unit budget draft is prepared.

19. To ensure and supervise the regular execution of the environmental cleaning, maintenance and repair services of the unit building and campus.

20. To examine and supervise requests for book exhibitions, stands, posters and similar items to be hung in the unit.

21. To help provide students with necessary social services.

22. To make necessary warnings regarding the implementation of occupational health and safety issues in the work environment, to warn and control that doors and windows are kept closed outside working hours.

23. To ensure that documents regarding the recruitment of academic and administrative personnel to the unit are prepared and procedures for extending their terms of office are carried out.

24. To ensure that all data regarding the unit are kept up to date.

25. To ensure that reports such as the Strategic Plan, Activity Reports, etc. regarding the unit are prepared.

26. To approve and certify necessary documents. (student documents, transcripts, diploma photocopy)

27. To ensure that classrooms are cleaned, numbered and secured regarding AÖF, ÖSYM, ATAÜNİ exams.

28. To ensure that classrooms are organized and announcements are made during Distance Education exams.

29. To make disciplinary correspondence regarding academic and administrative personnel.

30. To check whether the health reports received by academic and administrative staff are appropriate.

31. To perform the tasks of the personnel he/she will deputize according to the Task Distribution Schedule Form.
